Managing your organisation settings

The Settings page holds the settings that apply to your whole organisation rather than to one event. Open it from Settings in the Workspace section of the sidebar.

The page is only in the sidebar for people who can change something on it. In the default roles, that’s Admins, Group Managers and Event Organisers. What they can change depends on their role:

Section Who can change it
Organisation, Email sender Anyone who can invite and manage users. In the default roles: Admin and Group Manager
Data retention Anyone with the data retention permission. In the default roles: Admin only
Suppression list Anyone who can add and edit guests can add and remove addresses. In the default roles: Admin, Group Manager and Event Organiser

Anyone else who can open the page sees those settings greyed out. See Team and roles for more about roles.

  1. Open Settings

    Select Settings in the sidebar.

  2. Make your changes

In the Organisation card, you can change:

    Field What it does
Name Your organisation’s name. It’s shown at the top of the sidebar, and it’s used as the sender name on emails if you leave Sender name blank
Default time zone The time zone new events start with. You can still change it for each event

Changing a default doesn’t change events you’ve already created.

  3. Save

A bar appears at the bottom of the page. Select Save changes, or Discard to undo your changes.

The Organisation card also shows your Account ID. Quote it if you contact Mint support, so they can find your account quickly. It never changes. Use the copy button next to it to copy it.

Only people who can invite and manage users (Admin and Group Manager in the default roles) see the account ID.

The Email sender card controls how your event emails look in a guest’s inbox:

Field What it does
Sender name The name guests see the email come from, for example “Acme Events”. If you leave it blank, your organisation’s name is used
Reply-to address Where replies go when a guest answers one of your emails. If you leave it blank, replies go to the address the email was sent from, which isn’t one of yours, so you won’t see them

The sender name also appears in the footer of every event email, next to the event’s title.

Select Save changes after making your changes.

By default, guest and contact data is kept until you delete, anonymise or erase it yourself. You can ask Mint to clean up old data for you instead. Only Admins (or anyone with the data retention permission) can change these settings.

  1. Switch on automatic anonymising

In the Data retention card, turn on Automatically anonymise guest data after events end.

  2. Choose how long to wait

Enter the number of Days after the event ends. It starts at 365 days. You can choose anything from 30 to 3,650 days.

  3. Save

    Select Save changes.

Once an event has been over for that many days, its guests’ names, emails and answers are removed. Counts, check-ins and email metrics are kept, so your reports still work.

  1. Switch on automatic erasing

Turn on Automatically erase inactive contacts.

  2. Choose how long to wait

Enter the number of Days without activity. It starts at 730 days (about two years). You can choose anything from 90 to 3,650 days.

  3. Save

    Select Save changes.

A contact who has had no registrations, check-ins or edits for that long is erased, together with their details on past events.

Mint checks for data to clean up once a day, so a change can take up to a day to take effect. Each clean-up is recorded in the Activity log on the Integrations page.

The suppression list is a list of email addresses that never receive event emails from any of your events. It’s shared by your whole organisation.

Mint checks it every time it sends an event email. That includes invitations, reminders and campaigns, and also confirmation emails and tickets. If a suppressed person registers, they’re still registered; they just don’t get any emails from you.

The Reason column shows why each address is on the list:

Reason How it got there
unsubscribed The guest selected the unsubscribe link in one of your emails
bounced An email to this address couldn’t be delivered
complaint The guest marked one of your emails as spam
hubspot The person opted out of all email in HubSpot (only if you’ve connected HubSpot)
manual Someone on your team added the address

On a contact’s page, a suppressed contact shows the Unsubscribed from emails badge.

  1. Enter the addresses

In the Suppression list card, type or paste the addresses into Add addresses. Separate them with commas, spaces or new lines. You can add up to 1,000 at a time.

  2. Select Suppress

The addresses are added straight away. You see Addresses suppressed.

Select the bin button (Remove) at the end of the address’s row. The address is removed straight away, without asking you to confirm.
