Managing orders
Once guests choose tickets when they register, every registration creates an order. You’ll find them on the event’s Orders tab, which appears once guests choose tickets.
Guests can also change and cancel their own registration; see When guests change or cancel themselves.
Changes after registering
Section titled “Changes after registering”Everything a group takes after registering is an order of its own, with its own order ID: a new ticket, an extra added later, or a guest added on Manage my registration. Its Notes say Change to … or Added to …, with the ID of the group’s first order.
Who can do what
Section titled “Who can do what”- Anyone who can see the event’s guests can see its orders.
- Cancelling orders needs the Cancel orders permission. By default the Admin, Group Manager and Event Organiser roles have it.
- Exporting needs the Export guest data permission.
What the Orders tab shows
Section titled “What the Orders tab shows”At the top are two figures: Orders, the orders that are confirmed, and Tickets issued, the tickets that are currently valid.
Below is the list of orders, newest first. It updates by itself every 30 seconds. For each order you see the Date, who it was Registered by, the Items they took, the Status, and Notes for an order made after registering.
Order statuses
Section titled “Order statuses”| Status | What it means |
|---|---|
| Confirmed | Everyone in the order has their place and their tickets |
| Cancelled | The order was cancelled and its tickets voided |
| Failed | A checkout from before payments were removed that was never finished. It holds nothing |
Cancel an order
Section titled “Cancel an order”-
Open the order’s menu
On the Orders tab, open the menu at the end of a Confirmed order’s row and select Cancel order.
-
Check what’s cancelled
The window lists each ticket that’s still valid, with its holder.
-
Confirm
Select Cancel order, or Keep order to leave it as it is.
When an order is cancelled:
- Every valid ticket and extra in it is voided and goes back on sale. A voided ticket can’t be used for entry.
- Anyone left without a valid ticket for the event is cancelled.
- Freeing places moves people off the event’s waitlist, if it has one.
- The order shows Cancelled, and the cancellation appears in the event’s Recent activity.
Issued tickets
Section titled “Issued tickets”Under the orders, Issued tickets lists every ticket with its holder and status: Valid, or Void once its order is cancelled. Each ticket belongs to one person and can’t be passed to someone else: if someone else is coming instead, cancel the place and add the new person on the Guests tab.
Export your orders
Section titled “Export your orders”Select Export CSV at the top of the Orders tab to download every order. The file includes each order’s ID, date, name, email, status and items.
