Registration forms
Registration forms set the questions guests answer when they register. Every event has its own form: open the event’s Registration tab and select Edit form. A new event starts with the basic form, and you can start from a library form while it’s a draft.
The form library holds starting points for events’ forms. An event copies a library form’s questions, so changing an event’s form never changes the library, and changing a library form never changes an event that already used it.
Save answers to contacts
Section titled “Save answers to contacts”There are two ways to add a question:
- Add contact field adds a question that saves each answer to the person’s contact. Choose any standard field, such as Date of birth or Mobile phone, or one of your own contact fields. The question type is set to fit the field: a date picker for dates, a country list for Country, Yes and No for yes/no fields, and the field’s options for choice fields. You can still change the wording, help text, whether it’s required, and when it’s shown. Each field can be asked once per form, so fields already on the form are greyed out. The custom fields you’ve set up are listed under Custom fields.
- Add question adds a question that stays with the event only. It isn’t saved to contacts.
Address
Section titled “Address”Address adds the address as one block. Tick the lines you want to ask (Address line 1, 2 and 3, City, State / region, Postal code and Country), and for each one change its wording and choose whether it’s required. Address line 3 is off to start with.
A Show this address only when… rule shows or hides the whole block. Other questions can still use a single line in their own rules. For example, show a question only when Country is United Kingdom.
Questions that need fixing
Section titled “Questions that need fixing”A question saving to a contact field that doesn’t fit it is marked Needs fixing, and the form can’t be saved until it’s fixed. This can happen on older forms, or after a contact field is deleted or loses an option. Open the question and select Fix the question to change it to fit, or Make it an event-only question. Fix all at the top fixes every question at once.
Registration pages
Section titled “Registration pages”Guests register a page at a time, in this order:
- Your details: who they are, and their guests.
- Ticket: each person’s ticket.
- Sessions & extras: each person’s Optional sessions and extras.
- Questions: everything else.
A Review page follows, where they check everything and pay, if there’s anything to pay. A page with nothing to choose or answer is skipped, and the questions on a page an event doesn’t have move to the next page it does have.
Each question shows its page in the list of questions, such as Your details page. To move a question, open it and choose its Registration page. Automatic puts contact profile fields (name, company, phone and so on) on Your details and everything else under Questions. First name, last name and email are always on Your details.
A question can’t come before what it depends on:
- A question shown by a rule on another question, under Show this field only when…, can’t be on an earlier page than that question.
- A question shown by a ticket, session or extra can’t come before the page where it’s chosen. A Ticket rule needs the Ticket page or later, and a Sessions or Extras rule needs Sessions & extras or later.
- An address block’s lines stay together on one page.
A question that breaks one of these is marked Needs fixing, with the reason, and the form can’t be saved until you move it to a later page.
The live preview shows the questions under the name of their page.
Asking plus-ones
Section titled “Asking plus-ones”On events that allow plus-ones, open a question and turn on Also ask each guest to have each plus-one answer it too, in their own section. In the list of questions it shows asked of each guest. It isn’t offered for name, email and date of birth questions, or for the address block. See Questions for each guest.
Questions for some tickets, sessions or extras
Section titled “Questions for some tickets, sessions or extras”A question can be shown only to people with a certain ticket, or who chose a certain session or extra. For example, ask for a T-shirt size only from people who add the T-shirt, or for a Backstage contact number only from Member with backstage ticket holders.
Open the question and, under Show this field only when…, select Add rule. Then choose what the rule checks:
| Choose | Then | For example |
|---|---|---|
| Ticket | is, is not or contains, and a ticket | Ticket is Member with backstage |
| Sessions | include or don’t include a session, or are any or are none | Sessions include Pricing workshop |
| Extras | include or don’t include an extra, or are any or are none | Extras include T-shirt |
On an event’s form, you pick the ticket, session or extra from that event’s list. Only Optional sessions are listed: Included sessions are on everyone’s agenda, so a rule on one would always match. On a library form, type its name instead. Rules match by name, ignoring capitals, so a library form works on every event that uses the same names. If you rename a ticket, session or extra, update the rules that use it.
When someone registers, these questions appear on their page once the person has chosen what they depend on: by default under Questions, after the ticket, sessions and extras. You can move one to the Ticket or Sessions & extras page so it appears as soon as the choice is made, under the person’s choices. See Registration pages. Each plus-one gets the ones marked Also ask each guest, by their own choices.
Removing questions
Section titled “Removing questions”First name, Last name and Email are needed for every registration, so their questions can’t be removed. You can still change their wording and help text.
Removing a consent question or legal / info text, such as a privacy notice, asks you to confirm first. Without it, people registering won’t see it or be asked to agree, which you may need for data protection.
Approved questions
Section titled “Approved questions”When an event starts from a compliance-approved form (marked approved in the library), its questions are marked Approved on the event’s form. You can add questions and logic around them, and move them up or down, but you can’t change or remove them. Only people who manage the form library can, by default Admin and Group Manager.
Save an event’s form
Section titled “Save an event’s form”Select Save changes at the bottom of the page. You see Registration form saved, and the changes apply to this event only.
If people have already registered, Mint first asks you to confirm, under People have already registered:
- Their answers are kept.
- New questions are only asked of people who register from then on.
- Questions you remove stop showing on existing registrations.
Save a form to the library
Section titled “Save a form to the library”To let other events start from an event’s form, select Save to library at the top of the form. Give it a name and, optionally, a description, then select Save to library. You see Saved to the form library.
The library gets a copy. The event keeps its own form, and changing one doesn’t change the other. Save your changes first: Save to library is greyed out while you have unsaved changes. Anyone who can edit event pages can save to the library, but only people who manage the form library can change library forms. Approved questions stay approved in every event that starts from the copy.
The form library
Section titled “The form library”Form library in the sidebar is only shown to people who manage the form library: Admin and Group Manager by default. Everyone else who can edit event pages picks library forms from an event’s Registration tab.
- New form creates a form with the basic questions.
- Select a form to edit it, then select Save changes. Changes only reach events that start from the form afterwards: events that already used it keep their own copy.
- Turn on Compliance-approved in a form’s Settings to make its questions approved in every event that starts from it.
- To delete a form, select Delete form at the top of it, or Delete from the menu at the end of its row in the library. Events that started from it keep their copy, so a library form can always be deleted.
