Your event's emails

Every event comes with a ready-made sequence of emails, branded with the event’s look. You’ll find them on the event’s Emails tab: go to Events, open your event and select Emails.

When you create an event, Mint adds these emails to it:

Email What it’s for Sent to (to start with) Suggested send time
Save the date An early heads-up, weeks before invitations go out Invited 6 weeks before the event
Invitation The main invite, with a personal RSVP link Invited 3 weeks before
Registration confirmation Sent automatically when someone registers or buys a ticket Each new registration Straight away
Reminder A nudge the day before the event, with their ticket link Attending 1 day before
Virtual access link Each guest’s personal join link, shortly before the event starts Attending 1 hour before
Thank you A follow-up for guests who came Checked in 1 day after
Sorry we missed you A follow-up for guests who registered but didn’t come No-show 1 day after

The Virtual access link email is only added to Virtual and Hybrid events. If you change an event’s format later, Mint adds it, or removes it from an in-person event as long as it hasn’t been sent.

Each email on the Emails tab shows its name, its status, when it goes out, who it goes to, and its results so far.

Status What it means
Draft Not scheduled. If it has a suggested time, it shows Suggested: and the date. It won’t be sent until you send or schedule it
Scheduled Will be sent at the time shown after Scheduled for
Sending On its way. Large audiences go out in batches, so this can take a while
Sent Finished. It shows when it was sent
Automatic The confirmation email: Sent automatically on registration

Each email shows four figures, which update while you have the page open:

Figure What it counts
sent Emails delivered to the email provider for sending
opened The share of those guests who opened it
clicked The share who selected a link or button in it
bounced Emails that couldn’t be delivered

Opens are counted when a guest’s email app loads the email’s images, so some opens aren’t counted.

When an address bounces, or someone marks your email as spam, Mint stops sending to that address. You can see these addresses on your organisation’s suppression list.

You can also see every event’s email results together on its Overview tab; see Your event’s results.

The Registration confirmation email is sent automatically to each person as soon as they register or buy a ticket, and to each person moved off the waitlist. It contains their registration details, a table for them and one for each of their plus-ones with their ticket, QR code, answers and sessions, an Add it to your calendar link and a Manage my registration button. Their confirmation code is at the top of their table. It’s their ticket: there’s no separate ticket page.

You can change what it says, but you can’t schedule it, send it by hand or delete it.

To stop sending it:

  1. Open the event’s Registration tab

Go to Events, open your event and select the Registration tab.

  2. Switch off “Send confirmation email”

In the Capacity & extras card, turn off Send confirmation email.

  3. Save

Select Save changes at the bottom of the page.

Select an email on the Emails tab to open it in the email composer, where you change its subject, message and button. See Writing an email.

You can change an email at any time, including after it has been sent, for example before sending it to guests added since. The only time it can’t be changed is while it’s sending. Changes apply to emails sent from then on; guests who already received it keep the version they were sent. See Sending to guests added later.

You can add as many emails as you need, for example a second reminder or an update about parking.

  1. Select “New email”

On the event’s Emails tab, select New email.

  2. Choose a template

Pick one of the templates under Choose a template: any of the built-in emails above except the confirmation, or Custom email to start from a blank message.

  3. Write and send it

The new email opens as a draft. Write it, then send or schedule it.

To reuse an email, including one that’s already been sent:

  1. Open the email

Select it on the Emails tab.

  2. Select “Duplicate”

Select Duplicate at the top of the page. A copy opens as a new draft, named after the original with (copy) at the end.

A copy of the confirmation email is an ordinary email. It isn’t sent automatically, and the confirmation-only merge tags in it show blank.
