Registration and change deadlines

Each event has three deadlines:

Deadline What it controls
Registration closes When people can no longer sign up. You can also close it early yourself
Guests can change or cancel When guests can no longer change their answers or guests, or cancel
Session changes When guests can no longer choose their sessions. By default this matches the change deadline, but you can keep it open until the event ends
  1. Open the event’s Registration tab

Go to Events, open your event and select the Registration tab.

  2. Choose when registration closes

In the Capacity & extras card, choose Registration closes. New events close registration when the event starts. You can choose 1 day, 2 days, 3 days, 1 week or 2 weeks before, or keep it open until the event ends.

To close registration before the deadline, use the Registration open switch at the top of the page; see Closing registration early.

  3. Choose until when guests can change or cancel

Choose Guests can change or cancel. It has the same choices; the default is Until the event ends.

  4. Decide whether sessions can change later

Turn on Allow session changes after the change deadline to let guests keep choosing sessions until the event ends.

  5. Save

Select Save changes at the bottom of the page.

Once registration closes:

  • With the waitlist on: everyone who signs up joins the waitlist, even if there are places left. The event page shows Registration closed — join the waitlist.
  • With the waitlist off: nobody can register. The event page shows Registration closed, and the registration form’s button is greyed out.

Sometimes you need to stop sign-ups before the deadline, for example when your venue changes its numbers. Switch Registration open off, in the Website & registration card at the top of the Registration tab. It takes effect straight away, with no need to save:

  • Registration closes straight away, exactly as if the deadline had passed: new sign-ups join the waitlist if it’s on, or are turned away if it’s off.
  • The waitlist stops moving people in automatically.

To reopen registration, switch Registration open back on. Registration then stays open until the Registration closes deadline, which still applies.

Once that deadline has passed, registration is closed whichever way the switch is set, and the switch says so.

Until the change deadline, guests can change their own registration from Manage my registration: their answers and their guests’ details, add a guest, or cancel anyone in their group.

After it, those changes are closed, and the page tells them to contact you instead.

Guests choose sessions for themselves and for each of their guests on Manage my registration, where they sign in with their email address and the confirmation code from their confirmation email. They select a person, then change their sessions under Ticket, sessions and extras.

The same deadline applies to changing a ticket or extras there, since they go together with sessions.

Allow session changes after the change deadline Guests can change tickets, sessions and extras until
Off (default) The change deadline. After it, sessions are locked; nothing can be added or removed.
On The end of the event, even after their other changes have closed. This lets people build their agenda while they’re at the event.

Each person’s registration tells guests until when they can make these changes. Once it’s too late, their sessions are shown read-only and the page asks them to contact you.
