Setting up registration
Every event has a Registration tab. It controls what you ask people when they sign up, who is allowed to sign up, and what happens when the event is full. A preview of your form sits beside the settings, so you can see what guests will see.
To change these settings you need permission to edit event settings. The Admin, Group Manager and Event Organiser roles have it. See Managing your team and roles.
Website live and Registration open
Section titled “Website live and Registration open”The Website & registration card at the top of the tab has two switches, side by side. Unlike the rest of the tab, each one takes effect as soon as you flip it.
| Switch | What it does |
|---|---|
| Website live | Takes the event live, ending test mode, or switches its website off once it’s live. See Publishing an event. |
| Registration open | Switch off to stop new registrations straight away; the page stays up. See Closing registration early. |
Guests can see your page and register only when both are on. The card’s description tells you where you stand, for example Live and open: guests can see the page and register.
The registration form
Section titled “The registration form”Every event has its own registration form. A new event starts with the basic form, which asks for First name, Last name and Email. Changes to it only apply to this event, and nothing goes into the form library unless someone saves it there.
The Registration form card on the Registration tab shows how many questions the form has. To change them, select Edit form at the top of the card; see the form builder. You need a role that can edit event pages.
Start from a library form
Section titled “Start from a library form”While the event is a draft, you can replace its questions with a copy of a form from your organisation’s form library.
-
Open the event’s Registration tab
Go to Events, open your event and select the Registration tab.
-
Choose a form
In the Registration form card, choose a form under Start from a library form. Forms marked approved are compliance-approved: see Approved questions.
-
Select Use this form
Mint asks Replace this event’s questions?. Select Replace. You see Registration form replaced, and any changes you’d made to the event’s form are gone.
The event gets a copy of the form, not a link to it. Later changes to the library form don’t affect the event, and changes to the event’s form don’t affect the library.
Once the event is live, its form can’t be switched to a library form. You can still edit its questions, for example to start asking something new.
Decide who can register
Section titled “Decide who can register”The Access card has two settings. Change them, then select Save changes at the bottom of the page.
Who can see the event page
Section titled “Who can see the event page”| Option | What guests experience |
|---|---|
| Anyone with the link | Anyone who has the event page link can see it and register. |
| Password protected | Guests must enter a password before they see the page. Type it in Page password. To change it later, type a new one in Change password, or leave the box blank to keep the current one. |
| Invite only (personal links) | Only people already on your guest list can register. They use their personal link from your invitation email, or the email address the invitation was sent to. |
Only allow guests on the uploaded list
Section titled “Only allow guests on the uploaded list”Turn on Only allow guests on the uploaded list to accept registrations, and ticket purchases, only from email addresses already on the event’s guest list. Anyone else sees the same message as on an invite-only event.
This is useful with Anyone with the link or Password protected when you want an open-looking page but a closed list.
Capacity and extras
Section titled “Capacity and extras”The Capacity & extras card controls what happens around each registration. Change the settings, then select Save changes.
| Setting | What it does |
|---|---|
| Waitlist when full | When tickets sell out, people join a waitlist instead of being turned away, and move in automatically when tickets come back. Off on new events. See Using a waitlist. |
| Send confirmation email | Emails each guest when they register. It’s their ticket, with each person’s QR code, and has their confirmation code. |
| Plus-ones per guest | How many extra guests each person can bring, from 0 to 10. On ticketed events each one chooses their own ticket. See Plus-ones. |
| Email plus-ones directly | Shown when plus-ones are allowed. On: plus-ones who give an email get their own confirmation and your event emails. Off: only the person who registered is emailed, and their confirmation lists everyone. Minors are never emailed. See Emails to plus-ones. |
| Registration closes | When people can no longer sign up. |
| Guests can change or cancel | Until when guests can change their own registration. |
| Allow session changes after the change deadline | Lets guests keep choosing sessions until the event ends. |
The last three settings are explained in Registration and change deadlines.
The event’s capacity is its tickets’ limits. On a simple event, set it when you create the event, or later on the Settings tab; with several tickets, set each one’s limit on the Tickets tab. Leave it blank for unlimited places. See Limits and capacity.
Preview your form
Section titled “Preview your form”The Preview card shows your form in the event’s colours and fonts, with the number of fields at the top. You can fill it in to try it out; nothing is saved.
Conditional questions appear as you answer, just as they do for guests.
To see the whole journey from the guest’s side, see The guest experience.
Discarding changes
Section titled “Discarding changes”While you have unsaved changes, a bar at the bottom of the page shows You have unsaved changes. Select Discard to go back to the saved settings.
