Changing an event's settings
Open the event and select the Settings tab. The forms are on the left; the Privacy & lifecycle panel is on the right.
To change these settings you need a role that can edit event details and settings. By default that’s Admin, Group Manager and Event Organiser. If you only have view access to the event, the page is read-only.
Change the event’s details
Section titled “Change the event’s details”-
Make your changes in the Details card
Edit any of the fields described below.
-
Save
A bar appears saying You have unsaved changes. Select Save changes, or Discard to undo them.
| Field | What it does |
|---|---|
| Event name | The name on your event page and in emails. |
| Vanity URL | The end of your event page’s address. The full address is shown underneath. Only lower-case letters, numbers and dashes are allowed. |
| Format | In person, Virtual or Hybrid. See Changing the format. |
| Time zone | The time zone the event’s times are shown in. |
| Starts and Ends | The event’s dates and times. The event must end after it starts. |
| Venue name and Address | Where the event takes place. |
| Capacity | The most people who can attend. On an event with one ticket, it’s that ticket’s limit, and changing it here changes the ticket. With several tickets, it shows their limits added up, and you change each one on the Tickets tab. Leave it blank for Unlimited. |
| Latitude and Longitude | The venue’s position, used for maps and hub distance filters. |
| Summary | A short description shown on hubs, calendars and link previews. |
| Cover image | The event’s image, shown for example on its card in your events list. |
| Tags | Labels for the event. Hubs can include events by tag, and you can search the events list by tag. |
| Group | Which team or department the event belongs to, or Whole organisation. This decides who in your organisation can see it. |
Changing the format
Section titled “Changing the format”You can switch between In person, Virtual and Hybrid at any time, with one exception.
When you switch to Virtual or Hybrid:
- the Agenda tab becomes Virtual venue,
- a Virtual access link email is added under Emails, if the event doesn’t have one.
When you switch back to In person, the Virtual access link email is removed, as long as it hasn’t been sent. A sent email stays in your history.
Why In person is sometimes locked
Section titled “Why In person is sometimes locked”Once anyone has joined the event online, the event has online attendance records, and switching to In person would leave them behind. So In person can’t be chosen any more, and the Format field explains why, for example 3 people have joined online, so the event stays virtual or hybrid. You can still switch between Virtual and Hybrid.
Collaborators
Section titled “Collaborators”The Collaborators card lets you give colleagues outside the event’s group access to this one event. It’s also how you give a Viewer access: Viewers only see the events they’re added to here.
-
Choose a teammate
Select them in Choose a teammate.
-
Choose their access
Choose View only or Can edit.
-
Select Add
They’re listed in the card straight away. To remove someone, select the bin icon next to their name.
View-only collaborators only see the event’s Overview and Guests tabs. They can see its guests and results and download the guest list, with the answers to the registration questions, but can’t change anything. Collaborators with Can edit can work on the event as their role allows.
Scheduled exports
Section titled “Scheduled exports”The Scheduled exports card emails a spreadsheet of the guest list every morning while the event is live, until a week after it ends.
- Add each email address under Recipients.
- Select Save recipients.
To get the guest list now, select Download now. This needs a role that can export guest data.
Privacy & lifecycle
Section titled “Privacy & lifecycle”The panel on the right holds actions that affect the whole event. Which ones you see depends on your role.
| Action | What it does | Who can do it (by default) |
|---|---|---|
| Duplicate event | Creates a copy of the event | Admin, Group Manager, Event Organiser |
| Anonymise guest data | Removes guests’ personal details | Admin |
| Archive | Hides the event page | Admin, Group Manager |
| Delete event | Deletes the event for good | Admin, Group Manager |
Going live and switching the website off are on the Registration tab, and Publish is on the Website tab, not in this panel. See Publishing an event.
Duplicating an event
Section titled “Duplicating an event”Select Duplicate. Mint creates a copy called “(copy)” after the original name, and opens it.
The copy has the same page design, details, tickets, agenda, registration settings and emails, but no guests and no orders. It starts as a Draft, with its own web address. Its emails are drafts with no send times, except the confirmation email, which stays automatic.
Anonymising guest data
Section titled “Anonymising guest data”Select Anonymise and confirm. Every guest’s name, email address, company, job title, phone number, answers and notes are removed for good, and so are the names and email addresses on orders. Your counts, check-ins and email results are kept, so the Overview still adds up.
Afterwards, the button reads Anonymised and the header shows Guest data anonymised. This can’t be undone.
Archiving an event
Section titled “Archiving an event”Select Archive. The event page is hidden straight away and the event is removed from hubs and calendars. It stays in your events list, marked Archived, with all its data.
To bring the event page back, switch on Website live at the top of the event’s Registration tab.
Deleting an event
Section titled “Deleting an event”-
Select Delete
A message asks you to confirm.
-
Confirm
Select Delete. The event, its guests, orders and email history are deleted permanently, and you return to the Events page.
