Offering extras

Extras are things guests can add on top of their ticket, such as a t-shirt, a keyring, parking or a signed photo. They’re always optional and free (payments are being rebuilt): each person adds the ones they want when they register, so you know who wants what.

You manage extras on the event’s Tickets tab, in the Extras section. You need the Manage tickets & extras permission.

  1. Open the event’s Tickets tab

Go to Events, open your event and select the Tickets tab.

  2. Select “New extra”

    It’s in the Extras section.

  3. Fill in the details

    See the table below.

  4. Select Save extra

Field What it does
Name What guests see, for example “T-shirt”
Description A short line shown next to the name
Stock How many you have, shared by everyone. Leave blank for unlimited
Max per person How many one person can add. With more than 1, guests choose how many once they’ve selected it
Limit visibility Show it only to some guests. See Extras for some guests

Adding an extra makes your event a ticketed event, since extras are chosen with the tickets. If your event has only one ticket, guests still don’t choose it: it’s given to them. See Only one ticket to choose.

An extra can be limited to holders of some tickets, people taking some Optional sessions, or both. For example, only Member with backstage ticket holders see the Signed photo, and only people taking the workshop see the Workshop kit.

  1. Switch on Limit visibility

Open the extra and switch on Limit visibility.

  2. Choose who sees it

Under Holders of, tick the tickets. Under People taking, tick the Optional sessions.

  3. Select Save extra

Someone sees the extra if they hold one of the ticked tickets or take one of the ticked sessions: either is enough. An extra limited to the VIP ticket and the workshop can be added by a VIP who isn’t taking the workshop, and by anyone taking the workshop.

If you delete a ticket or session, extras limited to it stop being limited to it.

The list shows the most one person can add (Per person) and how many are Taken (out of your stock, if you set one). Limited extras have a Limited badge.

Open the menu at the end of a row to Edit or Delete an extra. You can’t set the stock lower than what’s taken, or delete an extra someone has already taken. To stop offering one, set its stock to what’s taken.

When they register, guests see extras on the Sessions & extras page, after each person’s sessions. Each extra is a card with a Select button. Each person only sees the extras their ticket or sessions allow. Each extra shows its description, how many one person can have, and Sold out when there’s none left.

  • The Review page lists each person’s extras, for example T-shirt × 2.
  • Their confirmation email lists each person’s extras under Extras in their registration details.
  • People joining the waitlist don’t choose extras.

On Manage my registration, guests select a person and change their extras under Ticket, sessions and extras: add one, change how many, or give one back. Review the change shows what they take and give up, and Make this change makes it straight away:

  • Adding an extra takes one from stock, if there’s any left.
  • Giving one back puts it back in stock.
  • Changing how many gives back the ones they had and takes the new number.
  • Dropping a session, or changing to a ticket, takes off the extras that no longer go with what they hold.
  • Cancelling someone gives back their extras too.

Extras given back go back into stock.
