Letting guests bring plus-ones
Plus-ones let someone register for themselves and bring guests in the same registration. Each plus-one takes a place at the event and gets their own agenda.
Plus-ones work on every event. Everyone holds one ticket: where guests choose tickets (there’s a second ticket, for example), each plus-one chooses their own. See Tickets.
Allow plus-ones
Section titled “Allow plus-ones”-
Open the event’s Registration tab
Go to Events, open your event and select the Registration tab.
-
Set Plus-ones per guest
In the Capacity & extras card, enter how many guests each person can bring in Plus-ones per guest, from 1 to 10. Enter 0 to turn plus-ones off.
-
Save
Select Save changes at the bottom of the page.
How guests add plus-ones
Section titled “How guests add plus-ones”On the registration form’s Your details page, guests see a Bringing guests? section under their own details. To take a guest off, they select Remove next to their name.
-
Select Add a guest
Each time they select Add a guest, a new row appears, up to your limit.
-
Fill in each guest’s details
For each plus-one, guests enter:
- First name (needed) and Last name.
- Date of birth (needed). Anyone under 18 on the day the event starts is a minor.
- Email (optional), so the plus-one gets their own confirmation and your event emails. It can’t be the registrant’s own email, or one that’s already on the event’s guest list. Minors aren’t asked for an email.
A row left completely blank is ignored.
If you’ve set any questions to be asked of each guest, they appear under that guest’s details. See Questions for each guest.
On a ticketed event, each guest then chooses their own ticket. If there’s only one ticket, it’s already chosen.
-
Choose sessions and extras for each person
If your event has Optional sessions or extras, the Sessions & extras page shows each person in turn: You first, then each guest by first name. Each person selects their own, and anyone whose ticket allows none isn’t listed. Included sessions are on everyone’s agenda without choosing.
The person who registered gets the main confirmation. Its registration details have a table for them, then one for each plus-one with their ticket, their QR code for the entrance (and, on online events, their link to join), their answers and their sessions. Minors are marked “(under 18)”, and guests on the waitlist are marked too.
Adult plus-ones who gave an email also get a confirmation of their own, with their ticket and their sessions. See Emails to plus-ones.
Questions for each guest
Section titled “Questions for each guest”You choose which of your registration questions plus-ones answer too, such as dietary needs or accessibility needs. In the form builder, open a question and turn on Also ask each guest.
- Each plus-one answers those questions in their own section, under their details, when someone registers and on Manage my registration. Required questions are required for each guest.
- Show-and-hide rules work for each person. For example, a question shown only when Country is United Kingdom appears for a guest whose own answer is United Kingdom. A rule can also depend on a question only the person registering answers. A rule on a ticket, session or extra uses the guest’s own: a guest who adds the t-shirt is asked their size, and their question appears on the page you’ve put it on, once they’ve made the choice.
- Questions about a guest’s name, email and date of birth can’t be asked again, and nor can an address block: every plus-one already gives their name, date of birth and email.
- Guests’ answers stay with the event. They aren’t saved to Contacts, even for questions linked to a contact field.
You’ll find each guest’s answers in their panel on the Guests tab and in the guest list export. The main confirmation shows each guest’s answers in their table, and a plus-one’s own confirmation shows theirs.
How plus-ones count towards capacity
Section titled “How plus-ones count towards capacity”Every plus-one holds a ticket and takes one place, just like the person who registered. Someone registering with two guests needs three tickets.
When the tickets have a limit, guests can see how many are left before they start. With the waitlist off, they can only add as many guests as there are tickets left for: with one ticket left, they see Only 1 ticket is left, so you can’t bring a guest, and there’s no Add a guest button.
If there aren’t enough tickets left for the whole group, or one person’s chosen ticket is sold out:
- With the waitlist on, the whole group joins the waitlist together. See Groups with guests.
- With the waitlist off, they can’t register, and see a message such as Sorry, there is only 1 place left.
Session places work the same way: each person who selects an Optional session with a capacity takes one place in it. If the group would take more places than are left, the session can’t be selected for everyone.
Changing plus-ones later
Section titled “Changing plus-ones later”The person who registered manages their plus-ones on Manage my registration. Under Who do you want to manage? they select a guest to change just that guest. See Manage my registration.
- Change a guest’s details: change their name, date of birth, email or answers under Their details, and select Save changes. Each guest needs a first name and a date of birth, including guests added before dates of birth were asked for.
- Change a guest’s ticket, sessions or extras: under Ticket, sessions and extras, then Review the change and Make this change.
- Add a guest: select Add a guest, fill in their details (and on ticketed events their ticket, sessions and extras), then Add …. Each guest takes a ticket, so if none is left they see a message saying it’s sold out. On the waitlist, a guest added to the group waits with them.
- Remove a guest: select Cancel…, then the guest. Their ticket, sessions and extras are freed, and can go to the next person on the waitlist.
Details, adding and cancelling close at the change deadline; tickets, sessions and extras when session changes close. See Registration and change deadlines.
Plus-ones belong to the person who registered them
Section titled “Plus-ones belong to the person who registered them”- Only the person who registered can change or remove their plus-ones. Plus-ones can’t sign in to Manage my registration themselves or ask for a confirmation code, even if an email address was given for them, unless the group is handed to them.
- Cancelling cancels the whole group. When the person who registered cancels, or you set them to Cancelled or Not attending on the Guests tab, their plus-ones are cancelled too. Everyone’s tickets go back on sale and their session places free up.
- Unless they hand the group over. When the person who registered can’t go but their guests can, they can hand the group to an adult guest with their own email address as they cancel. That guest becomes the person who registered: they’re emailed their confirmation, sign in with their own code, and their code becomes the group’s.
- Plus-ones aren’t added to Contacts. Only the person who registered becomes a contact. Their plus-ones are listed on that contact under Related people, and get a contact of their own when they register themselves.
- The person who registered gets everyone’s details. Their confirmation has a table for every guest with their ticket and QR code. See Emails to plus-ones.
Emails to plus-ones
Section titled “Emails to plus-ones”Adult plus-ones who gave an email get emails of their own:
- Their own confirmation, saying who registered them, with their ticket and QR code, their sessions and, on online events, their link to join. It’s their ticket. It has no confirmation code: the person who registered them manages their place. It’s sent when they get a place: when they register, when they’re added or given an email on Manage my registration, or when they move off the waitlist.
- Your event emails, such as reminders, when they’re in the email’s audience.
Plus-ones without an email, and minors, are never emailed. No email address is ever made up for them. Their details are in the confirmation sent to the person who registered them.
To email only the people who register, turn off Email plus-ones directly in the Capacity & extras card on the event’s Registration tab. It’s on to start with, and only shows when plus-ones are allowed. With it off, plus-ones get no emails at all, and the main confirmation still lists everyone.
Plus-ones’ sessions
Section titled “Plus-ones’ sessions”The person who registered chooses sessions for each of their plus-ones, on Manage my registration: they select the guest, then change their sessions under Ticket, sessions and extras.
Plus-ones on the waitlist don’t have an agenda yet. They get one when they’re given a place.
Plus-ones in your guest list
Section titled “Plus-ones in your guest list”Each plus-one appears in the event’s guest list as a guest in their own right, with a Plus-one label. You can change their status like anyone else’s.
- Minors have a Minor label. To see only them, select Filters and choose Minors (under 18) under Age.
- Plus-ones without an email show No email.
- Registration ID: the person who registered and their plus-ones share a 10-letter registration ID, shown in each guest’s panel. Search for it to see the whole group together, or use it to match the group up in another system.
- You can correct a plus-one’s Date of birth in their panel.
